A phone system that follows your people
Older office phone systems tie calls to a desk. When staff work from home, visit clients or cover another location, calls ring out or land in a voicemail box nobody checks. Many businesses also run on a tangle of landlines, forwarding rules and personal mobiles, so customers get a different experience depending on who they reach. Legacy line contracts can be costly, and the hardware is hard to support once the original installer has moved on.
We look at how calls actually come in and who should answer them, then recommend Microsoft Teams Phone if your staff already spend their day in Teams, or a hosted VoIP platform if you rely on desk phones, receptionist consoles or detailed call reporting. We handle the number port, auto attendants, call queues, voicemail-to-email, handsets and softphone apps, and register each number’s emergency address. It suits offices, clinics, dispatch teams and multi-site businesses.
What’s covered
- Call flow design Business hours, holidays, departments and overflow rules mapped out before anything is configured.
- Number porting from your carrier Existing local and toll-free numbers moved from your current carrier, with the port date coordinated to avoid gaps.
- Auto attendant menus and queues A greeting and menu that sends callers to the right group, with queues, hold music and overflow to voicemail or mobile.
- Voicemail to email Each voicemail arrives in email as an audio attachment, with a transcript where the platform offers one.
- Softphone and mobile apps Staff answer business calls in a laptop or phone app that shows the company number rather than a personal mobile.
- Handsets for those who want them Desk phones and headsets recommended, provisioned and tested for people who still prefer a physical phone.
- e911 address registration Every number and remote user registered with the correct civic address, so emergency services are sent to the right place.
- Voice-ready network check Bandwidth, latency and quality-of-service checks, with fixes from our network and Wi-Fi work where needed.

Common questions
Will our main number stay the same if we switch to VoIP?
In most cases, yes. Your current carrier transfers the number to the new provider through a process called porting, which needs a recent bill and a signed authorization. The old service keeps working until the port completes, and we build the new system in parallel so the switch happens on a planned date. A few number types have restrictions, which we check before you commit.
Is Microsoft Teams Phone a good fit for a small office?
It fits well when staff already chat and meet in Teams and mostly work on laptops, because calls land in the same app. Offices that rely on desk phones, receptionist consoles, paging or detailed call reporting are often better served by a hosted VoIP platform. We compare both against how you work; see Microsoft 365 support.
Why does e911 registration matter for VoIP phones?
A VoIP number is not tied to a physical line, so emergency services rely on the address registered with the provider. If a staff member dials 9-1-1 from a softphone at home and the record still shows the office, help may go to the wrong place. We register an address for each location and show remote staff how to keep theirs current.
What happens to calls if the office internet goes down?
Because the system lives in the cloud rather than in your building, calls can fail over automatically to mobile numbers, another office or voicemail. Staff with the mobile app can keep answering over cellular data. For offices where the phones are the business, a second internet line from a different carrier is worth pricing.
